Welcome to Events Uncovered 2025!
We are delighted to have you onboard as an exhibitor this year. The following Exhibitor Manual has been carefully prepared to assist you with the pre-planning of your exhibition space within the venue.
Please read all the information carefully and keep an eye on our handy checklist and key deadline dates on page 4 of this document. For any further questions, please reach out to a member of our event team. We look forward to welcoming you to the event.

When packing up your space, please ensure packed boxes and banners are clearly labelled including completed courier documents (i.e. FEDEX or DHL) are securely attached. Bump out must be finished by 8pm.

Section 2 | Exhibiting at Events Uncovered
Public Liability Insurance
It is a requirement that all exhibitors take out Public Liability Insurance for the event which refers to damage or injury caused to third parties/visitors on, or in the vicinity of, your exhibition stand. In most cases this can be achieved by extending your existing policy through your insurance broker in the form of a ‘Certificate of Currency.’
IMPORTANT: Ensure to email your Public Liability certificate to events@intermedia.com.au ASAP or by Friday 11 July at the latest.
Exhibitor Package Inclusions
As an exhibitor of the event, you will be provided with the following:
Furniture
Your package includes, the following cocktail set:
- 1x high bar table and 2x high bar stools
D PLUS D Events are the official furniture supplier for Events Uncovered. There is a variety of sets and colours available for you to choose from. Please review the D PLUS D Furniture PDF to make your selection (insert link to document). All orders must be placed by 11 July 2025.
Stand |
ILUMINA Main Hall, L3 Exhibitors are provided with a shell scheme stand including fascia. See design below. ILUMINA Pre Function Space, L3 Exhibitors are provided with a space only stand We strongly encourage exhibitors to decorate their space to ensure they are fun and interactive. |
Power |
1x single power outlet is supplied. Should you require additional power on your stand, please request this through Exponet. |

Please note:
The use of pull-up banners is discouraged. We do however, encourage exhibitors to think creatively about how they showcase their branding and logo.
Stand Example
Exhibitor Passes
You will need to register all your exhibitor staff to receive an Exhibitor Pass. Please register your staff by following this link.
Uncovered After Dark
All Exhibitors, unless modified in your email, will receive 2 tickets to the Uncovered After Dark. Please register your attendees by following this link.
Tickets to Spice Knowledge Sessions
We would also like to extend a special 10% discount for exhibitors to purchase any Spice Knowledge Session tickets. Please use the unique code EUEXHIBITOR10 on check out to access this discount.
Food and Beverage Sampling
If you would like to sample food or beverages on your stand it will need to be approved by the venue. Please email events@intermedia.com.au with details of your proposed sampling for review and approval by Friday 11 July, 2025.
Internet
WIFI is available onsite and provided by the venue. For specific internet requirements please email events@intermedia.com.au by Friday 11 July, 2025.
Works in the Venue
Any suppliers carrying out works in the Venue (working from heights, using tools, assembling furniture etc) will be required to complete our Tiks & Cams induction prior to entering the Venue

Parking

Deliveries & Loading Dock Access
- The loading dock operates (manned) Weekdays from 6:30am to 6:00pm
- The booking time is 20 minutes block for loading dock. If a need arises you can book multiple slots through Veyor.
- The Dock can be accessed 24/7, however, all bookings need to be requested and approved via the Veyor Booking system. Once the approved company arrives at the dock (when unmanned) they will press an intercom button which will be answered by security who will open the dock for them given they were expecting them at the approved time.
- Deliveries must not require mechanical assistance like forklifts and must be removed within the booked timeframe.
- Upon arrival at the loading dock and accessing ILUMINA please call the Illumina logistics number on 0439 337 825
- We strongly recommend you bring your own trolley.
Freight Storage
ILUMINA has limited storage. It is the responsibility of the exhibitor to take items offsite by COB Tuesday 19 August, 2025. Please note the venue does not accept responsibility for the loss or damage of any materials accepted/ stored by the venue.
Collections
Please ensure that you make arrangements in advance for couriers to pick up exhibitor goods at the end of the exhibition. It is the exhibitor’s responsibility to pack, seal, label and arrange shipment for goods at the conclusion of the event. All items must be removed from the Venue at the conclusion of the event.
Sustainability
We are working towards maximising a reduction of environmental impact from this event.
- When creating your stands and organising marketing materials, please consider the impact of the items you choose.
- We will have water stations situated on the Exhibition floor. Please encourage all your team to bring reusable water bottles to fill up at the stations.
Waste Removal
General waste and Recycling bins will be placed in the various venues.
Exhibitors are required to (flatten boxes) place their waste in the appropriate bins, clearing these are managed by our facilities team.
If a large amount of waste is expected, please let us know, however you will be responsible for removal.
Loss, Damage or Theft
During set up and take down times and exhibition opening times, the area will be open and we encourage you to take extra care of your goods. Please do not leave any valuable items on your table. Whilst every precaution is taken, the ILUMINA cannot accept any responsibility for loss or damage, which may occur to persons or property at the exhibition from any cause whatsoever.
It is the exhibitors’ own responsibility to arrange adequate insurance to cover such potential loss and or damage. Please notify a venue employee if you see anything suspicious onsite.
Emergency Procedures
Should an emergency situation arise, please remove yourself and others from danger noting the following important information:
- In the case of an emergency all guests, exhibitors and external vendors should follow the instructions of the ILUMINA security & supervisor.
- Evacuation plan attached
- In the case of a medical emergency all ILUMINA security are first aid trained and a first aid room including defib are located in the ILUMINA dock.
- All incidents or near misses should be reported to the ILUMINA Event supervisor team asap.

Social Media
We’ve created a social tile that you can use in promoting your presence at Events Uncovered via your social media channels. These tiles can be downloaded here.

Use your channels to let attendees know where and when Events Uncovered is happening, and posting with the hashtag #eventsuncovered and tagging @eventsuncovered, @spicenewsmag and @alistguide. During the Event Marketing
Social Media
During the event we will be sharing all the fun and excitement across our Instagram, Facebook and LinkedIn channels. Use your channels to let attendees know where they can find your stand and all the fun we’re having by posting with the hashtag #eventsuncovered and tagging @eventsuncovered, @spicenewsmag and @alistguide. Don’t forget to follow our social media channels for updates, and sign up for the Spice News newsletter.
Lead Generation
A lead capture app from Entegy will be launched early August. It will enable all exhibitors and sponsors to gather visitors’ information and convert this data into leads. Further details of the lead capture app will be sent out in June.
Events Uncovered App
The Events Uncovered App will be available to download from early August. The App will include an exhibitor listing, floorplan and a range of features for guests to make the most out of their visit. There will be a feature for attendees to book appointments with stands, more information to come.
Photography & Videography
Stands must be complete by 8.00am so our official photographer to take photos of your stand. We encourage you to have a clean stand with no visible rubbish. A copy of the photo will be emailed to you after the event.
Product Giveaways & Prizes
One of the best ways to drive foot traffic to and engagement with your stand is promotional activities, samples, prizes, and product giveaways etc. It’s your chance to get creative and have fun with the exhibitor attendees. Be sure to consider the environment when thinking through any samples, and have your terms and conditions along with any necessary permits available on your stand or published wherever you promote your activity.
To assist us with our marketing efforts we ask you please let us know of any promotional activity on your stand. This information may be used across our social media channels, email marketing, website and event app both prior to and throughout the weekend. Please share information on your promotion by filling out the table below and send us back a copy by Friday 11 July 2025 to events@intermedia.com.au
